HVAC
The 8pm no-cooling call, answered.
The phone rings hardest at the worst time — a July evening, a Saturday, the week the heat index does not drop below 100. Every one of those calls is either a service ticket or a competitor’s service ticket. Hey Quad answers all of them, takes the address and the fault in the caller’s own words, and pages whoever is on call.
An answering service alternative for HVAC companies: an AI receptionist on the same business phone system as your office and your on-call phone. How the AI receptionist works.
“The upstairs unit stopped cooling. Can someone come out tonight?”
Nobody is free to pick it up. That call is the whole argument for the rest of this page.
What Quad says, and what it does
- Answers on the first ring, in your business’s name, with the hours and the service area you taught it.
- Asks for the service address and reads it back, checking it against the addresses already in your records rather than guessing a spelling.
- Gets the fault in the caller’s words — not cooling, no air moving, water on the floor, a breaker that keeps tripping — and whether anyone in the house is at risk from the heat.
- Says plainly what happens next and when, then does it: books a slot, or pages the on-call tech, or takes a message and texts the caller a confirmation.
When a person takes over
A person is brought in the moment the call stops being routine. If the caller is upset, asks for a human, or describes something Quad was not taught to handle, it says so and puts them through — to your dispatcher, to a queue with hold music, or to a ring group. Outside hours, an emergency pages the on-call phone directly and stays with the caller until someone picks up. Quad never bluffs a diagnosis and never quotes a price you did not give it.
The actual flow
Not a diagram of a product vision. This is the shape of the call flow you get on day one — hours and holidays at the front, the receptionist in the middle, and three ways a call can end.
And this is where it lives. The same flow, open in the editor you get on day one — every branch above is a box you can move, rename or point somewhere else, without calling us.

What setting it up looks like
- Keep your number. We port it, or we forward the one you have while the port runs.
- Tell Quad the business: service area, hours, what you charge to come out, what you do not do, and who is on call this week.
- Point the emergency path at a phone. An extension, or a ring group — whichever your crew actually answers.
- Put the softphone on the truck. Same extension in the browser and on the phone in a tech’s pocket.
We do this part with you on a call. Not a ticket queue, not a wizard you work through alone.
In the same account
The receptionist is one part. Every seat also has the rest of the system, so nothing it does has to be copied into another app.

What it costs
We quote per seat for your business, in writing, within one business day. Every tax and fee for your address is its own line on the quote, and your bill matches it. A seat is a person, not a device.
- Calling minutes and texts on every seat, pooled across the team
- Inbound texts free
- The AI receptionist as an add-on with its own pool of minutes
- 12- or 24-month agreements, or month to month
- No setup fee
- Porting handled for you; desk phones on request, set up before they ship
Questions HVAC owners ask
- Can it tell an emergency from a routine call?
- It can tell them apart the way you told it to. You set what counts as an emergency for your business — no cooling with someone elderly in the house, water where water should not be, a burning smell — and Quad follows that rule rather than a guess. Anything it is unsure about goes to a person, which is the safe direction to be wrong in.
- Will it quote a price?
- Only the numbers you give it, such as a diagnostic fee. It will not estimate a repair, guess at a part, or promise a time window you have not set. When a caller pushes for a number Quad does not have, it says a person will call back with it and takes the details.
- What happens when the power goes out at the shop?
- Nothing on your end has to happen. The phone system is not in your building — calls keep arriving and route to mobiles by the same rules they always did. That is worth reading about before hurricane season rather than during it.
- Can two locations share it?
- Yes. Each location gets its own number, greeting, hours and crew, under one login and one bill, with reports split by location.
