Approve what an AI app asks to do
When ChatGPT, Claude or another AI app connected to Hey Quad asks to do something that needs a person's OK, it waits on the Approvals list until someone approves or declines it.
An AI app connected to Hey Quad can read and draft on its own. Some actions are different: booking an appointment, publishing a call flow, buying a number. For those, the AI app does not act. It asks, and the request waits on the Approvals list until a person decides.
Emails and texts are never on the Approvals list. An AI app only writes them as drafts, in the conversation, and a person sends them the usual way.
Where requests show up
- Approvals in the side menu of the console. The number next to it is how many requests you can decide.
- Approvals in the mobile app's menu.
- A notification on the bell and on your phone, for everyone who can approve the request. Tapping it opens the request.
Each request shows:
- what the AI app wants to do, in one plain sentence (names and times, not IDs; phone numbers as you would say them, like (813) 555-0142);
- who asked and which app they used (for example "Claude");
- what would change, as a short list of what will happen, with anything risky marked with a warning (for example, a number with no 911 address) or a before-and-after;
- when it was asked and when it expires.
Passwords, PINs, keys and other secrets in a request are hidden. The raw data behind a request is folded under Technical details, closed unless you open it; you never need it to decide.
Who can approve
Anyone who could do the same thing themselves in Hey Quad. If a request needs a permission you do not have, you do not see it, unless you asked for it.
Approve or decline
- Approve runs the action right away, as you. Your name is recorded as the approver next to the person who asked and the app they used. If it fails, the request shows why.
- Decline stops it. You can add a reason; the person who asked sees it.
- Withdraw is for the person who asked, when they no longer have the permission to approve it themselves.
Some actions ask for a two-factor check when you approve them, the same check Hey Quad asks for when you do them yourself. Buying, releasing or porting a number always asks.
A request nobody decides expires after 7 days. The person who asked is told. Ask the AI app again if it is still needed.
Let some actions run without approval
An owner can let an action run without approval under Settings → Inbox & email, in Direct mode (next to AI apps (MCP)). Each action is off until an owner turns it on.
These always need a person's approval and cannot be switched:
- buying, releasing or porting a number;
- publishing a call flow, a receptionist or an integration.
Sending texts and email cannot be switched on either: an AI app never sends them.
Notifications
Turn the bell or phone notifications for Approval needed and Your request was decided on or off under Account → Notifications, in the AI apps group.
